7 Essential Ways to Become a Great Proofreader

Great bloggers neither leave their content unpolished nor do they publish before their work is wholly refined. To bring traffic to your website and enlarge your targeted audience, it is essential to respect the proofreading process.

Whether you’re working on a paper, blog, article, e-mail, or other essential document, always be sure to proofread it and make sure it delivers the proper message. Here are seven ideas you can apply.

  1. Change Your Mindset

If you are always grumpy about revising your work and find no fun in it, your results will show it. You might lose readers, which won’t help in the long run. Here’s how to adopt a growth mindset:

  • After you’ve created your piece, take time to reflect on your work. Is there anything you don’t feel unsatisfied about? Are you content with delivering this message to your niche? Is your grammar correct?
  • If you have unanswered questions, write down ideas to address them. What would you like to improve, how, and in what time frame? Set goals and deadlines, then start working on them.
  • Treat yourself kindly and take regular breaks. Nobody can work non-stop! Work 50 minutes, then take a 10-minute break. During your free time, meditate, dance, read, listen to classical music, or do something that loosens you up. Avoid getting sidetracked into social media.
  1. Practice Makes Perfect

Become a better proofreader through practice. When you don’t have any assigned tasks, write! Yes, simply write down your thoughts using the best language you can.

Dan Creed, content writer at AustralianEssays, shares this opinion: “You could write about your day, your plans, your goals, or anything else that goes through your mind. Search for synonyms for words you are displeased with. Rock that learning curve!”

  1. Reading Is Essential

To improve your writing skills, allocate at least 15 minutes a day or more to reading a well-written article. Sign up for The Economist, HuffPost, The New York Times, or any magazine that’s attractive to you. Pay attention to the writer’s approach and style. That will inspire you to progress—in both your proofreading and your writing.

  1. Find a Proofreading Buddy

Identify a colleague you can reach out to. Work with a person who’s specialized in your area of interest. You can trade tips, exchange ideas, and do each other’s proofreading projects. Help that person help you.

  1. Write Down Your Common Errors

Design a “mistake list” and go through it every time you’ve finished writing an article. For instance, I know that “affective” and “effective” are two words I always mix up, so I include them in my list. Every time I use these words in my articles, I check twice to see if I got them right. Use your mistakes as learning tools. (Excellent resource: Word Trippers Tips)

  1. Be Patient

Take things step by step, and don’t rush when you write, polish, or proofread your piece. Remember, you are not done until you’ve revised your content to your satisfaction. Be patient with your learning process. Read and write daily, and you’ll make fewer mistakes, write better (and faster!), and have more free time.

  1. Ask for Help

Don’t hesitate to get help if you need it. Ask your colleague or even a professional editor to re-read your piece after you’ve polished it and proofread it yourself. Take the feedback you receive into consideration and learn from your errors.

To become a great proofreader, I suggest you set a positive mindset, practice reading and writing daily, find a proofreading buddy, ask for help when needed, and be patient and kind with yourself.

A Publisher’s Praise for Editors

Years ago I was reading the bestselling A Walk in the Woods by Bill Bryson and found a typo on one of the first pages. The word the was spelled “th”. How could this be? The book was published by Random House, one of the Big Five! How had all of their copyeditors and proofreaders, not to mention spell checkers, missed it? How had the hundreds of advance copy readers failed to report it?

red penI told one of the editors here at Wheatmark about my discovery. This editor happened to be a voracious reader. She started circling all the misspellings, typos, or instances of bad grammar that she found in any major publisher’s book she read, and flagging the offending pages with Post-It notes. Invariably she’d have twenty or more notes stuck in a book by the time she finished reading it. She’d then show me each book as further proof of how rare, if not impossible, perfection in editing is. She made her point.

Mathematically, of course, it’s obvious. When you put ten, twenty, or thirty thousand words together, all of which have to relate to one another in precise ways, correctly following hundreds of rules of grammar and syntax, the opportunities for error are astronomical. And that’s before taking into account all the tweaking that authors and editors do, and a host of other higher level editing changes.

I continued reading A Walk in the Woods, now actively looking to find more errors. I don’t remember finding any, though there must have been some. I was impressed. My shock at finding the one typo was replaced by respect for what a good editorial process can accomplish. I’ve never lost that respect. Now every time I read a well-edited book, I’m a bit in awe.

The editorial process major publishers like Random House use to achieve editorial excellence usually involves all these types of professional editing: manuscript evaluation, developmental editing, copyediting, and proofreading. While editorial needs vary from book to book, there’s no substitute for a good editorial process.

By the way, the “The” missing an “e” was probably an error introduced during layout. That’s how it could have been missed by so many readers. It should have been caught during proofreading (the post-layout edit), but even proofreaders aren’t perfect. Don’t skip the proofreading!

How to Proofread EVERYTHING with Fresh Eyes

What’s the last step you take before finalizing what you’ve written and pressing the SEND button? No doubt you’ve heard the magic word “proofread” before. But what does it actually mean to proofread well?

In my writing Wordshops, we go through a fill-in-the-blank exercise that leads to a lively discussion because the answers can be slippery. However, here’s your chance to confirm what proofreading means — and a sharp reminder to do at least two of these activities EVERY TIME when polishing your own work.

When you proofread, do some or all of these activities: 

Reread what you wrote at least t____ or t_____ times.

Have at least  t__ other people read it, too.

Save it and p_______ it out, and then read it, preferably in another room.

Reread ONLY after you have let it sit for t___ to t_____ minutes minimum.

Read every sentence o___  l___. Even read it b________!

Consider the readers’ v_________. What do  they want or need?

Here are my recommended answers. Were you close?

Reread what you wrote at least two or three times.

Have at least  two other people read it, too.

Save it and print it out, and then read it, preferably in another room.

Reread ONLY after you have let it sit for ten to twenty minutes minimum.

Read every sentence out  loud. Even read it backwards!

Consider the readers’ viewpoint. What do  they want or need? Have you succeeded in writing this piece that way?

Choosing the Right Kind of Editor for Your Nonfiction Book

Choosing an editor is a big step. This is the person you will trust with your words, your ideas, and your vision. How can you choose wisely?

The first step is to understand what kind of editorial service you’re looking for. Editors work with manuscripts in different ways. Some take the “10,000 foot” view, considering your book’s overall structure and theme, while others are basically holding a magnifying glass right up to the details of spelling and punctuation.

Which is right for you? Do you want someone to tear your work to shreds? To suggest alternate endings, or to point out entire chapters that aren’t necessary? Or do you want someone to check the spelling?

While not everyone uses the terms noted below, these are standard descriptions for different editing services.

Developmental:

Also often called a “substantive edit” or “manuscript evaluation.” This service invites an editor to critique your overall manuscript. Feedback often comes in a memo, or in annotated comments throughout the work, that provides general guidelines and feedback for you to tackle revisions. The editor doesn’t actually change anything in the document itself.

For nonfiction manuscripts, the feedback will focus on the impact of your content: its clarity and conviction, the flow of ideas, and the effectiveness of the writing style.

Line:

This is typically the most intense (and some say, invasive) editing, and the place where you really need to trust your editor. Line editors bring out the best in your author’s voice and make your writing shine. That means that sometimes a line editor will make actual content changes to a work.

Line editing represents the highest level of the editor’s craft. Line editors consider what can be trimmed, condensed, or cut in order to improve pace, avoid repetition, and make the experience of a book as engaging as possible. A line edit might include:

  • Eliminating wordiness, triteness, and inappropriate jargon.
  • Giving dialogue more “snap” and bite.
  • Smoothing transitions and moving sentences to improve readability.
  • Extending examples, adding subheadings.
  • Suggesting—and sometimes implementing—more comprehensive additions and deletions, noting them at the sentence and paragraph level.

 Copy:

Copy editing is, I think, what most people envision when they think about editing. The book remains largely in the order and at the pace that it was, and editorial changes happen at the sentence level.

Copy editing may include:

  • Editing for clarity, format, syntax, obvious factual errors, and continuity. 
  • Correcting faulty spelling, grammar, and punctuation.
  • Correcting incorrect usage (such as who for that).
  • Checking specific cross-references (page numbers, references, etc.)
  • Flagging inappropriate or over-used figures of speech.
  • Changing passive verbs to active.
  • Flagging ambiguous or incorrect statements.

 Proofreading:

This is usually the final step in editing, when a detail-oriented, meticulous editor goes word-by-word to correct grammar, spelling, usage, and typographical errors. Proofreaders make sure that spelling (is it grey or gray?), hyphens, numerals, and capitalization are always consistent.
